X.Org BoD meeting minutes 2013-08-08

These are the meeting minutes the X.Org Board of Directors [1] meeting.
Minutes and IRC logs are published on the wiki [2, 3].

The X.Org board meets every two weeks on Thu/Fri (depending on your
timezone) in the #xf-bod IRC channel on irc.oftc.net. Please refer to the
X.Org Google calendar [3] for time and date of the next meeting.

For any issues that need to come to the attention of the board please email
me or board at foundation.x.org and we will add it to the agenda for the next
meeting.

== Summary ==
Last weeks were finance entertainment weeks, with HSBC closing our checking
account and troubles with the 501(c)(3). Both are in the process of being
fixed. 

Three of our four GSoC students passed the mid-term evaluations.

== Items discussed ==
ITEM: XDC paper reviews
All papers submitted to XDC got reviewed and accepted. There is still room
for less formal talks.
ACTION: Martin P to notify authors of acceptance
STATUS: Complete

ITEM: GSoC updates
We have 4 students. One quit for external reasons, the other three
passed the mid-term evaluations.
ACTION: None
STATUS: Complete

ITEM: Travel sponsoring
Three requests for travel sponsoring, from David Hermann, Matthias Hopf,
Martin Peres. Board voted to approve all of them.
ACTION: Stuart K is eagerly awaiting receipts
STATUS: Done

ITEM: Tax and 501(c)(3)
The deadline for tax form 990 was missed, so our 501(c)(3) status got
retracted. We're now in contact with the SFLC to fix this.
ACTION: Stuart K has a confcall with Eben Moglen 
STATUS: Pending

ITEM: Finance
HSBC closed our checking account with no notice. The monthly "analysis fee"
used to come out of the savings account if the checking account was negative
but apparently HSBC changed that without notice and then closed our account.
ACTION: Stuart K to re-open a new account or change banks
STATUS: Pending

ITEM: GSoC finance
Google provides some money to the sponsoring organisation. We need to check
our status as org and whether we've gotten this in the last years and make
sure we get it this year.
ACTION: Stuart K to check previous/current mentor payments
STATUS: Pending
